Your challenges
Based at our Head office in Hørsholm, you will join a team of 14 skilled strategy colleagues and report directly to the Senior Vice President Group Strategy & M&A. As our new Management Assistant/PA, you will support on traditional PA tasks and an array of ad hoc tasks to free up time for the Senior VP, the Director, the Senior Director and the team. You will play an integral part in the smooth and proficient management of daily administrative activities and office procedures, while also ensuring that any potential hurdles are adequately addressed. Also, you will support on team activities such as team meeting scheduling, offsite planning, content creation etc. Being close to the executive group management, you gain unique insight into business-critical projects – and become part of a truly international work environment.
More specifically, you will:
Proactively manage inbox and calendar and ensure overall time allocation including suggestions for freeing up time and ensuring alignment in daily schedule
Plan, coordinate and schedule meetings, follow-ups, off-site events etc.
Conduct travel management on behalf of Senior VP, Director and Senior Director and provide light travel support to the team – always with a focus on finding sustainable solutions in alignment with our sustainability strategy
Manage invoices and expense settlements
Manage stakeholders (internal and external) and incoming inquiries and act as a gatekeeper to the Senior VP
Coordinate HR-related tasks and processes, e.g. onboarding
Draft and/or proofread communication and presentation materials, update templates etc.
Maintain and protect highly confidential corporate information
The position is available as either a full-time or a part-time position depending on your preference.
Your Qualifications
We will come to know you as a proactive, service-minded and structured coordinator with an ability to juggle multiple tasks at a time in a busy environment while keeping calm, maintaining the overview and being collaborative and accommodating. You appreciate working in an administrative role, and with your thorough and structured way of working and your attention to details, you take pride in delivering task on time and keeping your deadlines. That said, you are able to adjust to changing priorities and you feel comfortable adjusting and reprioritizing your organized to-do list with incoming tasks. You possess good judgment with a high level of integrity and professionalism, and with your humble and diplomatic approach and your communication proficiency, you easily navigate and collaborate with a broad range of stakeholders.
Moreover, we expect that you:
Have a relevant education at bachelor's level within e.g. office, administration, languages etc.
Have some experience as Management Assistant, PA, EA, coordinator or similar from an international company
Have experience in managing a busy and operational workload
Demonstrate the ability to handle highly sensitive and confidential information with discretion
Possess solid proficiency using Microsoft Word, Outlook, Excel, and PowerPoint
Are proficient in PowerPoint and structuring presentation materials
Speak and write English fluently
