For our Danish office in the Vejle we are currently looking for an:

Administrative Office Manager

Our new office in Denmark is looking for an Administrative Office Manager to organize and to ensure the smooth running of the offices and help to improve company procedures and day-to-day operation. The Office Manager will organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible team player, that enjoys the administrative challenges of supporting an office of diverse people.
The candidate will be placed in the Danish office and will have to report to the Country Manager.

Responsibilities and duties:

  • Organize office operations and procedures.
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Booking transport and accommodation.
  • Partner with HR to maintain office policies as necessary.
  • Coordinate with IT department on all office equipment.
  • Manage contract and price negotiations with office vendors, service providers, and office lease and ensuring that all items are invoiced and paid on time.
  • Provide general support to visitors.
  • Responsible for creating PowerPoint slides and making presentations.
  • Manage executives' schedules, calendars, and appointments
  • Responsible for managing office services by ensuring office operations and procedures are well organized.
  • Responsible for recruiting staff for the office and providing orientation and training to new employees.
  • Organizing company events or conferences.
  • Contributes to team effort by accomplishing related results as needed.
  • Skills, Knowledge and Experience:

  • Proven experience as an Office manager / Front office manager.
  • Knowledge of office administrator responsibilities, systems and procedures.
  • Knowledge of human resources management practices and procedures.
  • Proficiency in MS Office.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Fluent written and spoken knowledge English.
