Genmab is seeking an administrative Associate to join our Portfolio & Project Management (PPM) department, which is expanding to support our robust product pipeline. In this role, you will support our energetic and dedicated Research & Development Strategic Initiatives (RDSI) team.
As an Associate, you will be a part of the global and collaborative PPM Business & Program Support team. You will report directly to the Associate Director, PPM Business & Program Support Team Lead with a dotted line to the Senior Director, Head of R&D Strategic Initiatives.
Key Responsibilities
- Schedule and plan complex R&D governance meetings, scheduling across different time zones and managing conflicting meetings.
- Facilitate effective calendar management for the Senior Director, Head of R&D Strategic Initiatives and support daily operational tasks.
- Lead all aspects of and organize documentation within the Microsoft Teams channels; adeptly manage Team membership lists.
- Coordinate and participate in RDSI team meetings and portfolio meetings, including invites, agendas, meeting minutes and tracking action items.
- Organize face-to-face and hybrid events, ensuring all meals, logistics, IT/AV requirements, and overall setup are seamlessly performed.
- In partnership with the Assoc. Director, RDSI PMO, prepare reports and track initiatives for monthly progress updates.
- Support R&D Strategic Initiatives Project Managers by providing administrative support for team deliverables as needed.
- Manage contracts and create POs in SAP; liaise with Finance, Legal and/or Procurement as needed.
- Maintain relationships and partner with other administrative assistants, IT, Facilities and other key business partners to ensure successful execution of responsibilities.
- Chip in to the continuous improvement of team processes and standards, including process documentation.
Requirements
- Bachelors’ degree or equivalent preferred
- A minimum of 2-3 years of experience in an administrative support and/or project coordinator role.
- Experience in the pharmaceutical and/or biotechnology industry is preferable, but not a requirement; experience in a global set-up is a plus
- Solid experience with Microsoft Office, Word, Excel, PowerPoint and Teams is required.
- Experience creating purchase orders in SAP is a plus.
- Experience with Concur expense reporting is preferred.
- Comfortable working in a fast-paced global environment with some ambiguity
- Proactive, results driven and service-oriented mindset.
- Strong organizational and planning skills.
- Detail oriented with the ability to see the bigger picture and be steps ahead.
- Strong communication skills, fluent in English is a must.
- Collaborative spirit and capability to work in a matrixed global team environment.
- A team player, but also able to work very well independently.
Where you will work
- This role is located in Copenhagen, Denmark and is hybrid, which means that you are expected to be on-site 60% of the time.
- As an international company we offer and expect flexibility both ways and working late afternoon/early evenings occasionally happens to accommodate for the US time zone.
