As an Executive Secretary, to our two CFO's for Commercial and Operation you will have central role in supporting the Finance leadership team with administrative tasks.

Your key responsibilities will include, but not be limited to;

• Calendar management

• Expense management

• Travel management, including planning, booking and visa applications

• Assisting in preparing documents and presentations

• Keeping up-to-date on and ensuring department compliance with internal policies

• Facilitating smaller Projects and work with team on
performance updates and management

• Resolution of day-to-day practical issues and queries

• On-boarding and off-boarding of employees

• Internal moves and seating plans

• Meetings and event management of conferences, meetings, workshops and social gatherings

• Keeping up-to-date on and ensuring department compliance with internal policies

• Resolution of day-to-day practical issues and queries

The ideal candidate has solid experience as an executive assistant or secretary in a large organisation.

You have strong teamwork and can ensure a close collaboration with the Executive Secretaries supporting other functions.

Furthermore you are service-minded and adept to listening to, understanding and being able to deliver effectively and efficiently on the needs of others.

Key skills:

• Ability to work independently and proactively seek improvement to the way we work/operating system

• Proficiency with MS Office (Excel, PowerPoint and Outlook)

• Quick grasp of the organisation and its operating system

• Executive mind set – ability to anticipate and address executive and department needs proactively

• Excellent organisational skills, ability to multi-task and work independently

• Comfortable with changes in a fast pacing environment and the ability to come up with new solutions when needed

• Fluent in English both written and verbal
