Personal Assistant/Secretary

Can you keep a sense of perspective and maintain high standards for the Vice President of Reporting & Compliance?

You will report to Vice President of Reporting & Compliance and be his right hand and support him in everyday matters. Moreover, you will support the Vice President of Financial Planning & Analysis. Your role is important and a major contributor in ensuring that the daily lives of the two Vice Presidents run effective and smooth.

 

Your primary responsibilities:

  • Support the Vice Presidents with calendar planning, travel management, expense reports and meeting preparation
  • Coordinate, plan and prioritize internal and external meetings
  • Make sure deadlines are kept and that relevant material for any occasion is available
  • Support the development of communication/information/presentations for Group Management meetings, Town Hall meetings, leadership meetings and external presentations
  • Support the definition of communication roles and responsibilities as well as the development of the strategic communication set-up, including communication channels and platforms

 

The position will be based in Grundfos’ headquarters in Bjerringbro.

You keep a sense of perspective and stay calm, efficient and effective in high-pressure situations. You ensure excellent quality no matter the assignment type or scope. It is important that you are structured and that you can juggle different tasks at the same time without missing any.

 

Moreover, you can work independently and make fast decisions. You are vigorous and have a natural authority and you are not afraid of taking responsibility. You are a super user of MS Office and used to working in Microsoft Office Outlook, Word and PowerPoint. Furthermore, you know how to cooperate with different stakeholders in an organization.

 

It is pivotal that you possess excellent communication skills and that you communicate fluently in spoken and written English.

 

What do you need to apply?

Most probably you hold a relevant vocational or associate's degree (BA) in communication, business etc. or equivalent work experience. You have experience in planning, communication and coordination in a large international organization and you have flair for hands-on communication. You are extremely adept at identifying optimal communication channels, and you communicate effectively at all levels of an organization.

 

In addition, it is an advantage if you have experience in providing presentation material for management meetings as well as driving smaller projects and optimizing processes.

 

Your personality is the key to success in this position; you must be structured and well organized and at the same time openminded to changes.
